Everything you need to set up your sites and start tracking check-ins.

What Masc Attendance does

Masc Attendance replaces a paper sign-in sheet with a single QR code per site. A cleaner scans it and taps their own name — no app, login or PIN needed — and the system works out for itself whether that's a check-in or a check-out. Every visit is logged and timed automatically, and each night the system checks the day just gone and quietly emails a site's manager only if something's actually worth flagging — a missed visit or one that ran suspiciously short. No news is good news: an empty inbox means everything ran to plan.

Signing in for the first time

If you clicked through from a welcome or invite email, the sign-up form is already pre-filled with your email — just add your name and choose a password (at least 8 characters). Otherwise, click "Create an account" on the sign-in screen and enter your details yourself, using the exact email address you subscribed or were invited with. Depending on your account settings you may need to confirm your email before signing in.

Forgotten your password? Click "Forgot password?" on the sign-in screen, enter your email, and follow the link that's emailed to you to set a new one.

Note: your cleaners never need to sign in at all — they just scan a QR code (see below). Signing in is only for back-office admin staff managing sites and cleaners.

Why the exact email matters: your login only connects to your business because it matches the email your subscription or invite was created under. Use a different or mistyped email and you'll still be able to sign in — you'll just land on a "No organisation found" screen instead of the app. If that happens, double-check for typos or email admin@mascsoftai.com.au.

Your organisation name

Your organisation's name is set automatically from the company name you entered when starting your trial, and appears in the sidebar of every admin page. It can't be renamed inside any Masc app — this is deliberate, so it always shows exactly which business a login belongs to. Made a typo at checkout, or need it updated for a genuine reason? Email admin@mascsoftai.com.au and we'll update it for you.

Adding admin staff to Masc Attendance

Masc Attendance itself doesn't have an "invite" screen. If you'd like another admin to have access, invite them from Masc Inspect's Team page instead (Masc Inspect is currently the only one of our apps with staff-invite functionality) — even if they'll only ever use Masc Attendance. Once they sign up using the invited email, they'll automatically have access to every Masc app your business is subscribed to.

Adding, editing and deleting a site

Go to "Sites & QR Codes" and click "+ Add Site". Set:

  • Site name and address
  • Manager name and email — where nightly exception alerts for this site are sent (see below)
  • Cleaning days — tap each day of the week this site is meant to be cleaned
  • Window — the start/end time the clean is meant to happen within
  • Allocated clean time (minutes) — how long a visit is expected to take
  • Short-visit threshold (%) — defaults to 50%; flags a visit as suspiciously short if it comes in under this percentage of the allocated time

Click "Edit" next to a site to change any of this later. Click "Delete" to remove a site — the confirmation prompt explicitly warns this also deletes that site's entire attendance history, so make sure you don't need it (e.g. for records or export, see below) before confirming.

If your plan has a site limit, you'll see "X of Y sites used" above the list, and adding a new one beyond that limit is blocked with a prompt to upgrade.

Generating and downloading a QR code

Click "QR Code" next to a site, then "Download PNG". It downloads to your device's normal downloads location (usually your Downloads folder, unless you've changed your browser's download settings), named after the site. Print it and place it physically at the site (e.g. the cleaners' room) — this one code is all a cleaner ever needs to check in or out.

Adding, editing and deleting cleaners

Go to "Cleaners" and click "+ Add Cleaner" for each person — just their name and, optionally, mobile number. A cleaner only needs to be added once even if they work multiple sites. Click "Edit" to update their details, or "Delete" to remove them — again, the confirmation warns this also removes their attendance history, so this isn't reversible.

Assigning cleaners to a site

Back on the Sites list, click "Cleaners" next to a site. You'll see every cleaner in your organisation with a checkbox — tick whoever should be able to check in at this particular site, then click "Save Cleaners". Only cleaners assigned to a site show up on that site's scan screen (see below); if nobody's assigned yet, the scan screen tells whoever scans it to contact their manager instead.

What happens when a cleaner scans the code

No app, login or PIN is needed. The cleaner scans the site's QR code and taps their own name from a list of everyone assigned to that site — that's it. The same tap is used for both arrival and departure: the system automatically works out whether this is a check-in or check-out based on whether they already have an open visit at that site.

They'll see a simple confirmation — "Checked In" or "Checked Out" — with their name, the site, and the time.

Worth knowing: after that confirmation there's no "next person" button — if more than one cleaner is checking in from the same scan (e.g. a shared tablet at the site), each person needs to reload the page or rescan the QR code themselves to see the name list again.

Viewing and exporting attendance history

Click "Attendance History" in the sidebar to see every check-in/check-out ever recorded, with the duration of each visit. Filter by site and/or a date range using the controls at the top. An open visit (checked in, not yet checked out) shows an "Open" badge instead of a duration.

Click "Export CSV" to download the currently filtered list as a spreadsheet file (site, cleaner, check-in, check-out, duration in minutes) — useful for payroll, reporting, or keeping your own copy before deleting a site or cleaner.

Exception emails — nothing to set up

Every night, Masc Attendance automatically checks the previous day and emails a site's manager (using the email you set on that site) only if something's actually worth flagging. If everything went normally, no email is sent at all — it's exception-only, so an empty inbox is a good sign. There are two kinds of exception:

  • Missed Attendance — covers two different situations: a cleaner who was assigned to the site but never checked in at all that day, and a cleaner who checked in but never checked out (an "open" visit at digest time).
  • Short Visits — a completed visit (checked in and out) that came in under the site's short-visit threshold.

How short visits are judged when cleaners work together: if two or more cleaners check in at the same site within 90 minutes of each other, they're treated as one team, and the site's allocated clean time is split evenly across however many different cleaners are in that team (not the number of visits) before the threshold is applied. A cleaner who checks in completely alone is still judged against the site's full allocated time, not a split share. Practically: you don't need to double a site's allocated time yourself just because two cleaners usually clean it together — the system already accounts for that.

Timing: the digest runs once, automatically, overnight — you don't trigger it and there's nothing to configure. It always looks at the calendar day that just ended.

Important — please check this on every site: if a site's manager email is left blank, that site's exceptions are still detected but the email is never sent — and there's currently nowhere in the app itself that surfaces missed or short visits, so a site with no manager email set effectively has no exception alerting at all. Make sure every site you add has a manager email filled in if you want to actually be notified.
