Everything you need to set up your sites and get cleaners ordering supplies.
Overview
Masc Orders replaces phone calls and text messages for reordering cleaning supplies with a QR code stuck up at each site. A cleaner scans it, picks quantities from a list you've set up for that site, and submits — no app, login, or account needed on their end. Behind the scenes, Masc Orders builds a PDF order and emails it straight to the right supplier and your site's account manager automatically. Every order is also logged so you can look back at what was ordered, when, and by whom.
Getting started
If you clicked through from a welcome or invite email, the sign-up form is already pre-filled with your email — just add your name and choose a password (at least 8 characters). Otherwise, click "Create an account" on the sign-in screen and enter your details yourself, using the exact email address you subscribed or were invited with. Depending on your account settings you may need to confirm your email before signing in.
Forgotten your password? Click "Forgot password?" on the sign-in screen, enter your email, and follow the link that's emailed to you to set a new one.
Why the exact email matters: your login only connects to your business because it matches the email your subscription or invite was created under. Use a different or mistyped email and you'll still be able to sign in — you'll just land on a "No organisation found" screen instead of the app. If that happens, double-check for typos or email admin@mascsoftai.com.au.
Your organisation
Your organisation's name is set automatically from the company name you entered when starting your trial, and appears in the sidebar of every admin page. It can't be renamed inside any Masc app — this is deliberate, so it always shows exactly which business a login belongs to. Made a typo at checkout, or need it updated for a genuine reason? Adding your team
Masc Orders itself doesn't have an "invite" screen. If you'd like another admin to have access, invite them from Masc Inspect's Team page instead (Masc Inspect is currently the only one of our apps with staff-invite functionality) — even if they'll only ever use Masc Orders. Once they sign up using the invited email, they'll automatically have access to every Masc app your business is subscribed to, including Masc Orders.
Setting up
Go to "Sites & QR Codes" and click "+ Add Site". Fill in the site name (required), address, delivery instructions, and an account manager name/email. The account manager always receives every order from this site — that's not optional.
Underneath that, "Supplier email routing" gives you an ON/OFF switch for each category — Equipment, Chemicals, Consumables. When a category is ON(the default), that category's orders go to both the supplier and the account manager, same as always. Switch a category OFF and its orders go to the account manager only — useful if you'd rather a manager review and place orders with that supplier themselves instead of the cleaner's order going straight through.
To change any of these later, click "Edit" next to the site. To remove a site entirely, click "Delete" — this asks for confirmation first, and can't be undone.
If your plan has a site limit, you'll see "X of Y sites used" above the list, and adding a new one beyond that limit is blocked with a prompt to upgrade.
Click "QR Code" next to a site, then "Download PNG". It downloads to your device's normal downloads location (usually your Downloads folder, unless you've changed your browser's download settings), named after the site. Print it and put it somewhere the cleaning team will see it (e.g. the cleaners' room) — this one QR code is all a cleaner ever needs to place an order at that site.
Setting up
Go to "Product List" (shown as "Master Product List" on the page itself) and click "+ Add Product" for each consumable, chemical or piece of equipment cleaners might need — set its name, supplier code, unit, category (Consumable, Chemical or Equipment), and the supplier's email address. This is a single master list shared across all your sites — you choose which of these products actually appear on each site's order form in the next step.
Click "Edit" next to a product to change any of its details, or "Delete" to remove it permanently (confirmation required). Deleting a product also removes it from every site's order form it was assigned to — it won't silently linger on a site's form after being deleted from the master list.
Worth knowing: when a cleaner submits an order for a category (see below), the order email is only sent to one supplier email per category — taken from whichever product in that order was added to the master list first. If you stock products from different suppliers within the same category (e.g. two different chemical suppliers), keep each supplier's products in a way that reflects who should actually receive that email, or use the same supplier email across a category's products where possible — otherwise one supplier could end up receiving another supplier's order lines.
Back on the Sites list, click "Products" next to a site. You'll see three tabs — Consumables, Chemicals, Equipment — each listing every product in that category from your master list with a checkbox. Tick whichever ones this site should be able to order.
You only need to click "Save Products" once — it saves your selections across all three tabs together, not just whichever tab you're currently looking at, so switching tabs before saving doesn't lose anything.
How ordering works
No app or login is needed. The cleaner scans the QR code, types their name, picks a date, and enters quantities for whatever they need across the Consumables, Chemicals and Equipment tabs, then taps "Submit Order".
Worth knowing: if the cleaner enters quantities in more than one category (say, some Consumables and some Chemicals), Masc Orders sends a separate PDF and a separate email for each category — not one combined order. Each email goes to that category's relevant supplier email plus the site's account manager, with the PDF properly attached (no manual step needed, unlike Masc Inspect's Email button). Any notes the cleaner typed are included in every one of those emails, not split between them.
The cleaner just sees an on-screen "Order Submitted!" confirmation; no email is sent back to them, and they can tap "Place Another Order" straight away if they need to submit more than one.
Keeping track
Click "Order History" in the sidebar to see every order ever submitted across all your sites — date, site, cleaner's name, category, and the date it was needed by. Click "View" on any row to see the exact items and quantities ordered, plus any notes the cleaner left.
Unlike Masc Inspect's saved reports (which live only in the browser you saved them on), order history is stored centrally and visible to any admin who signs in, from any device.
